Privacy & Candidate Data Policy

Standards for protecting candidate credentials, flight crew records, aeromedical data, and operator communications.

Effective Date: October 2026 | This policy outlines the collection, processing, international transfer, and protection of personal data across Flight Path Talent.

1. Scope & Operational Overview

Flight Path Talent ("we," "us," or "our") connects certified flight deck personnel, cabin crew, and licensed aircraft maintenance engineers with commercial airlines, cargo freight operators, ACMI providers, and executive private aviation departments. This Privacy Policy informs candidates and client representatives of our practices regarding the collection, use, retention, and protection of their personal and professional information.

2. Types of Personal & Aviation Data Collected

To assess suitability for flight operations and technical aviation roles, we collect and process:

  • Personal Identity Details: Full legal name, date of birth, nationality, passport copies, residential address, telephone/WhatsApp contact, and primary email address.
  • Aviation Licences & Ratings: Certified copies of civil aviation licences (ICAO, EASA, FAA, UK CAA ATPL/CPL or Part-66 maintenance licences), type ratings, instrument ratings, and ICAO English Language Proficiency endorsements.
  • Aeromedical Documentation: Valid Class 1 or Class 2 medical certificates, validity expiry dates, and documented operational limitations (e.g., corrective lenses or operational multi-pilot restrictions).
  • Flight Experience & Currency Data: Documented flight hours, Command (PIC) hours, multi-engine turbine hours, aircraft type recency, simulator evaluation reports (LPC/OPC), and authenticated logbook summaries.
  • Professional Background & References: Employment history with previous airlines or operators, training records, and references obtained strictly with candidate authorization.
  • Client & Operator Inquiries: Organization name, contact person, official email, fleet requirements, and operational specifications.

3. Purposes & Legal Basis for Processing

We process personal and aviation documentation under the following lawful bases:

  • Candidate Consent: To register candidates on our confidential aviation roster, evaluate qualification criteria, and communicate relevant opportunities.
  • Contractual Necessity: To fulfill recruitment, crew sourcing, and workforce administrative agreements with client operators.
  • Compliance & Due Diligence: To comply with mandatory civil aviation authority prerequisites, immigration rules, and anti-fraud identity validations.

Candidate documentation is confidential and is never sold, traded, or made accessible to the public.

4. Data Sharing & International Transfers

Due to the cross-border nature of aviation operations, candidate dossiers and verified qualification summaries may be transmitted to prospective airlines, ACMI wet-lease operators, or corporate flight departments located internationally.

  • Dossiers are shared exclusively with prospective operating carriers that have entered into confidentiality and recruitment agreements with Flight Path Talent.
  • Submissions are conducted via secure, access-controlled transmission channels.
  • We do not disclose candidate data to third-party marketing networks or unverified entities.

5. Data Retention & Secure Disposal

We retain candidate data only as long as necessary to fulfill recruitment objectives or legal requirements:

  • Active Placements: Data related to placed flight crew is maintained for the duration of the operational contract and any mandatory post-contract compliance periods.
  • Candidate Talent Roster: Candidate dossiers registered for ongoing opportunities are retained for up to 24 months from the date of last contact, after which records are securely purged unless updated consent is provided.

6. Information Security Measures

We apply technical and organizational safeguards designed to protect aviation documents and personal information against unauthorized access, loss, alteration, or disclosure. Access to candidate files, licences, and medical records is restricted strictly to authorized recruitment and compliance staff.

7. Your Data Protection Rights

Subject to applicable data protection laws, candidates and website visitors have the right to:

  • Access: Request confirmation of whether we hold personal data and obtain a copy of the recorded documentation.
  • Rectification: Request correction of inaccurate information or update flight hours, ratings, and contact details.
  • Erasure: Request the secure deletion of your candidate profile and uploaded credentials from our database.
  • Withdraw Consent: Withdraw consent for further profile presentation to client operators at any time.
